How we handle information

What we collect, where it goes, and who reads it — in plain language. The formal version is our privacy policy.

What we collect and why

Only what we need to answer you and do the work you asked about:

  • Contact details — your name, business name, email, and (if you choose) phone, so Alex can reply.
  • Where you are — city or county, because we work in Eastern North Carolina and it shapes what we look at.
  • What you need — the concern you pick or the note you write, so the first reply is useful.
  • Your website address, if you have one, so we can look at your public presence before we talk.
  • Tool inputs — rough estimates you type into the Profit Leak Calculator, AI Readiness Quiz answers, or the domain and city you run through the AI visibility checker. Those tools email your results back to you.

We don't ask for more than that through the website, and phone numbers are optional on our forms.

Where it goes

These are the outside services that actually touch what you send us:

  • Netlify hosts the site, stores form submissions, and runs the small server functions behind the forms and tools.
  • Resend delivers the notification email to Alex, and the results email when you use one of our free tools.
  • OpenRouter routes requests to Google's Gemini AI models. That powers Chip, our chat assistant, and a step that sorts new requests and looks up your business's public web presence. That sorting step never receives your email address or phone number.
  • Google Gemini Live runs the voice demo. Your microphone audio goes from your browser to Google; we don't record or store it.
  • The AI visibility checker asks several AI search engines (OpenAI, Anthropic, Google, and Perplexity models, through OpenRouter) about the domain and city you enter — never your email.
  • Cal.com handles booking a call. Stripe handles card payments for self-serve products; your card details are entered on Stripe's page and never reach us.
  • Plausible counts page visits without cookies. Google Analytics and PostHog run only if you click "Allow" on the cookie banner.

We don't sell information submitted through this site.

A person reads every request

Alex reads every lead himself. AI helps sort requests and drafts a first reply, but a person decides what happens next and what gets sent to you. A form submission gets its reply from Alex, not from a machine. The automatic parts are the ones you can see: Chip and the voice demo answer you live, and the free tools and blog waitlist email you a confirmation or your results.

What we never ask for through public forms

Please don't send any of these through a form, the chat, or the voice demo:

  • Passwords, PINs, or login codes
  • API keys or access tokens
  • Payment card numbers (the only place to pay by card is Stripe's checkout page)
  • Health or medical information
  • Customer lists or your customers' personal details
  • Financial records such as bank statements, tax returns, or payroll (the calculators only ask for rough estimates)

If something like this is needed later for a project, we'll arrange a safer way to handle it together.

Credentials and access during a project

Our practice is to ask only for the access a job actually needs. Where a platform allows it, we prefer that accounts stay in your name and that you add us as a user, rather than handing over your own login. When the work ends, that access is removed. If you ever want to check or change what we can reach, ask Alex.

Pausing or turning off an automation

Every automation we build is supervised by a person. Automations Alex operates for you can be paused or turned off on request — call, text, or email Alex and say which one.

Who owns your accounts and website

Monthly services have a 3-month minimum, then continue month-to-month. Cancelling takes 30 days' written notice and, if we built your website, a buyout of whatever remains on its original quote. After that, you keep the website and any accounts registered in your name. Project work is billed 40% up front and 60% when the job is done.

The full wording is in our terms of service.

How long we keep things

Form submissions are kept for up to 2 years for business records. Some items, such as chat transcripts and blog waitlist signups, don't expire automatically yet. You can ask us to delete your information at any time by emailing alex@ncaisvc.com. The privacy policy has the details.

Security concerns

If you think something is wrong — a suspicious message that looks like it came from us, a form or tool acting oddly, or information you sent that you shouldn't have — email alex@ncaisvc.com or call (252) 777-2488. We reply within one business day (Monday–Friday, 8:00 a.m.–6:00 p.m. Eastern).
